Job Summary:

Our client, a leading company in the fabrication industry, is seeking a professional and well-organized Receptionist cum Sales Coordinator to join their team. The ideal candidate will act as the first point of contact for visitors and clients, manage front office operations, and provide administrative and coordination support to the sales team to ensure smooth day-to-day business operations.

Key Responsibilities:

Front Office Management:

  • Greet and welcome visitors in a professional and courteous manner.
  • Answer, screen, and route incoming phone calls and emails promptly.
  • Maintain a neat, organized, and presentable reception area.
  • Manage incoming and outgoing courier services and correspondence.

Sales Coordination:

  • Support the sales team in preparing quotations, proposals, and other sales-related documents.
  • Coordinate with clients regarding order status, delivery schedules, and payment follow-ups.
  • Maintain and update customer databases, sales reports, and related records.
  • Process purchase orders, invoices, and related documentation efficiently.
  • Liaise with internal departments (Accounts, Logistics, Operations) to ensure smooth order processing and timely delivery.

Administrative Support:

  • Manage office supplies, monitor stock levels, and maintain inventory records.
  • Schedule and organize meetings, appointments, and travel arrangements as required.
  • Prepare and distribute internal communications and reports.
  • Assist management with general administrative and operational support tasks as needed.

Requirements:

  • Bachelor’s degree or Diploma in Business Administration or related field.
  • 2–4 years of experience in a similar role (preferably in the UAE).
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
  • Strong organizational skills and keen attention to detail.
  • Ability to multitask and perform under pressure in a fast-paced environment.
  • Professional appearance and a positive, customer-focused attitude.
